Logging in via the Members gate - Help file

Where is the Members gate?

The Members gate is the log-in area available on every page of the ESA website at the top left-side.
It shows two fields:

  • the ' 'username' field: fill in your 6-digit ID or personal e-mail address here.
  • the 'Password' field: fill in your password here. Attention: this is a case-sensitive field, so use the correct capital and small characters.

Who can access the Members gate?

In principle, the Members gate is only accessible to ESA members, using a username (ID) and password that are issued by the ESA.

Other designated groups are granted (temporary) access as required (congress faculty, congress registrants …) to allow access to restricted information or features. All restricted information or features are invisible if you are not logged in.
Even if you are logged in, some information (pages, menu-items) may still not be visible: only ESA members, for instance, have access to the ESA Membership benefits displayed on restricted pages.


What is my username?

Your username consists of a 6-digit ID number, and is issued to you by the ESA (when you become an ESA member, or when required for other reasons). When you log into the Members gate the very first time, you will be asked to provide a unique personal e-mail address, which you will also be able to use as your username.

Note: If you become used to using your personal e-mail address to log in and have forgotten your 6-digit ID number, you can retrieve it after logging in by clicking Change profile, which will display your current login data (for security reasons, your password is not displayed).

Your password is a originally a combination of characters and numbers that you receive from the ESA, along with your username. If you want to, you can change your password yourself.

Why do I need to provide a personal e-mail address?
  • Your original username is given to you by the ESA and consists of 6-digits, which may be difficult to remember. Providing a personal e-mail address will allow you to use your personal e-mail address as your username. Note that your original 6-digit ID will also still be usable to log into the Members gate.
  • Only if you have provided a personal e-mail address, will you be able
    • to change your original password issued by the ESA into a password that you can easily remember.
    • reset your password yourself in case you don't remember or have lost your password, without any intervention from the ESA Secretariat.
    • use your personal e-mail address as your username

Using your personal e-mail address as your username

When you log into the Members gate the very first time, with a valid username and password, you will be asked to provide a unique personal e-mail address, which you will be able to use as your username.
( Note that if you provide an invalid username and/or password, you will get an error message saying that your attempt to log in through the Members gate has failed.)

  • You will be a asked to enter your personal e-mail address and repeat the address for verification. Then click the Save button.
  • An on-screen message will inform you that a confirmation e-mail was sent to the personal e-mail address that you entered.
  • You will be asked to click the link inside that confirmation message, so we will know that your personal e-mail address is a valid, working e-mail address.
  • Clicking the link will open our website automatically: you are notified on-screen if the confirmation is indeed successful. Your new personal e-mail address will become active and you will be logged on automatically.
  • Once you have completed the above process, you will of course not be asked again for your personal e-mail address during subsequent logins.
    • Note: when you use your personal e-mail address as username, it does not matter whether you type it using all capital characters, all small characters or a mix of both. In other words, your username is not case-sensitive.

    Changing your profile allows you to consult or view your user data (your 6-digit ID number or your personal e-mail address, but not your password) or change them (password and personal e-mail address).

    Note: this option is only available to users who have already logged in via the Members gate.

    You can change your original password into a password of your own choice (it is not obligatory to change your password) that you can remember more easily than the one originally provided by the ESA.

    • Once you are logged-in, the Members gate will show a link that says 'Change profile'. (You will see a link 'forgot password' if you are not logged in).
    • Click the 'Change profile' link: the page 'My Profile' is opened.
    • Below the title 'Change your password': enter your current password (1 time) and your new password (2 times) and click the Save button.
      Note that your new password:
      • will have to be at least six (6) characters long
      • is case-sensitive: it matters whether you use capital or small characters! (ABCDEF and ABCdef are considered different passwords)
      • If you correctly entered all required data, an on-screen message will inform you that your password has been changed successfully.
      • At this point your previous password has become invalid.
      • The ESA Secretariat has no way of knowing what your new password is, so please make sure that your remember your new password.

      (Note: this option is only available to users who are already logged in via the Members gate.)
      • Once you are logged-in, the Members gate will show a link that says 'Change profile'.

      Note: this option is only available to users
      • who have not logged in via the Members gate and
      • who have already provided a unique personal e-mail address.

      The Members gate shows a link that says 'Forgot password'.

      • Click the 'Forgot password' link
      • Enter your personal e-mail address and click 'Send'
      • If our website does NOT recognise your personal e-mail address, an on-screen message will inform you that "The e-mail address you entered was not found in the database". In that case:
        • Ensure you have already confirmed your personal e-mail address! (also see I do have a personal e-mail address, but have not confirmed it yet on your site. How can I retrieve my forgotten password?
        • If you are sure you have previously confirmed your personal e-mail address, try typing it again, paying attention not to type any spelling mistakes (if your CAPS Lock key is on, the @ sign or dots (.) will of course not be correct)
        • As a last resort, use the ' Request Login Credentials Reset' form
        • If our website does recognise your personal e-mail address, an on-screen message will inform you that a confirmation e-mail has been sent to your personal e-mail address, with a link that allows you to reset your password.
        • Check your inbox, open the received e-mail message and click the link in the e-mail.
        • Your browser will then open a page on the ESA website where you can enter a new password, which you will also have to repeat for verification. ATTENTION: you MUST do the password reset within 48 hours after receiving the link.
        • If you correctly entered your new password twice and click the 'Save' button, you will be logged in automatically. Please take care to remember your password: the ESA Secretariat cannot retrieve it. If you lose it, you will have to repeat the 'Forgot password?' procedure all over again.

        I cannot log in (my login failed, login failure)
        Please take note of a few common reasons for login failure:
        • Ensure that you have not by mistake entered a wrong username and/or wrong password.
          Take care to enter the correct characters and verify whether your CAPS-Lock or Num Lock keys are active or not. Note that passwords are case-sensitive: it matters whether you use capital or small characters! (ABCDEF and ABCdef are different passwords)
        • Possibly you have changed your original initial password yourself at an earlier time and you tried to log in using your old password. If so, log in again with your changed password.
        • You did not use the required 6-digit username (ID) to log in through our Members gate.
          If the ID you have been issued counts less than six digits, simply add 100.000. Then try to login again with the correct ID.
          • Example 1: username 123 + 100.000 becomes 100123
            Example 2: username 12345 + 100.000 becomes 112345
          If logging in still fails, please use the 'forgot password ?' feature

          A 404 (page not found) message may be just that: the page is not found because it does not exist anymore, or we misspelled the page name in a link. However, a 404 message also appears in case the requested page or document is not accessible to you. Some sections and pages on this site are only accessible to ESA members or other designated groups.
          Firefox may display a message "Object moved to here" if you try to access an item (page, file or document) that you are not allowed to see because you do not have sufficient access rights to it. The link that Firefox offers will not work, however. Even though the link to that restricted document is visible, the document itself may not be accessible.

          Possible solution: it is possible that you can access the item in question after logging in with your username and password. If you are logged in and still cannot open the link in question, this means you really do not have access to the related item.

          What is a confirmation e-mail? When do I receive a confirmation e-mail?

          Confirmation e-mails are e-mail messages that are automatically sent to ESA website users. These e-mails are sent for different reasons:

          • To confirm that the personal e-mail address a user has entered at our website is a valid, functional e-mail address.
          • To reset a lost or forgotten password.
          A confirmation e-mail is usually sent immediately and should reach your inbox within minutes.

          When I click the link in the confirmation e-mail, nothing happens

          Some e-mail clients (such as Microsoft Outlook) may block the links that are present in an e-mail message.

          I cannot find the confirmation e-mail that was sent to me from the ESA website
          • If you cannot immediately find the confirmation e-mail, please check whether the message was not moved to your Spam or Trash folder. The sender of the message will be no_reply@euroanaesthesia.org, so please ensure that this address is not blocked in any way by your firewall or anti-spam software.
          • If you are sure that you have not received any confirmation e-mail, please try to repeat the procedure that caused the confirmation e-mail to be sent from our website (when confirming your personal e-mail address for the first time or changing it afterwards; or when using the 'forgot password' procedure). Pay attention in particular to the correct spelling of your e-mail address. Possibly you will have to provide another, working mail address!

          The link in the confirmation e-mail is not valid anymore (link has expired)

          There are two possible reasons why a link in a confirmation e-mail message is not working.

          • A confirmation link can only be used once: possibly you have already used the link once before. If that process was successful, using the link in the e-mail message a second time will result in an error message.
            • Solution:
              This is not an actual error: confirmation links are used to confirm your personal e-mail address or to reset your password yourself. If these processes were successful, your personal e-mail address and password have already been confirmed and are functional, and you simply did not need to use the link a second time.
            • The link has expired. For security reasons, the link you received by e-mail will not work anymore after 48 hours!
              • Solution: If the link has expired, simply repeat the desired procedure to receive a new e-mail with a new confirmation link :

                • I have lost my password (I forgot my password, cannot remember password, password retrieval)
                • Using your personal e-mail address as your username
                • The new confirmation link will of course only remain valid for another 48 hours, so please use the link within 48 hours after receiving the e-mail. If the link expires again, you can simply repeat the procedure any number of times.

                Why does my browser jump to the ESA home page every time I log out (using the 'log out' link in the Members gate)?
                After having logged in, you are free to navigate to pages that show restricted information. Pages such as this are not (supposed to be) visible to anonymous users who visit our website.
                As soon as you log out, however, you become an anonymous user, and to ensure that you cannot see any restricted information after you have logged out, you are automatically taken to a page that is accessible to anyone – the ESA homepage.

                I do not have a personal e-mail address - I want to create a personal address

                It is possible that you have not confirmed or cannot provide a personal e-mail address, because you do not have one. How to proceed now?

                There are many free services on the internet that allow you to create a personal e-mail address at no cost, such as Gmail and Hotmail. We suggest you create an e-mail address using one of these services.


                I do have a personal e-mail address, but have not confirmed it yet on your site. How can I retrieve my forgotten password?

                The 'Forgot password' option can only be used if you have already confirmed your unique personal e-mail address on our site.
                It is possible that you have lost or forgotten your password, and that you do have a personal e-mail address, but have not yet confirmed that address on our site. How can you retrieve your password?

                In fact, you can use any e-mail address that you have access to and ask for your login data to be sent to that address by using the User Reset form. If needed, create a new e-mail address first.

                Using the' Request Login Credentials Reset' form

                The ESA site offers various tools that facilitate access to our Members gate:

                Only if these tools fail to help you, you can make use of the User Reset form.

                This online form allows you to send a request to the ESA, asking us to do one of the following, or both:

                  • Reset your password:
                    your password will be reset to the original combination of characters and numbers that you received from the ESA.
                  • Reset your personal e-mail address: the ESA will delete any personal e-mail address that you had already provided. Note that you will be asked to provide one again when you first log in at the ESA website.

                  You will be asked to provide sufficient data for us to identify you and you have to provide an e-mail address. We will then e-mail your original password and username (your 6-digit ID number and - if applicable - the personal e-mail address that you entered on our site), with which you can log on to our site again (and change your profile again, if you choose to do so).

                  Even if you have not yet confirmed your personal e-mail address on our site, this form allows you to have your login data sent to that e-mail address (or any other existing or new e-mail address that you have access to).

                  Note that resetting your user data like this is not an automated process: unlike the 'Forgot password' procedure, it has to be done manually by the ESA staff, so please allow between 1 and 5 days for your login data to be sent to you.
